Starting university is an exciting time especially if you are commencing as an international student. Moving to a new country to study is a big decision that will no doubt change your life, and yet enriching.
We are here to help you every step of the way! In many ways, your journey will begin well before you arrive in Malaysia. You will need to sort out your student pass and visa and, pre-arrival medical screening at your home country, arranging your accommodation and journey, and finally of course, the fun bit - you’ll need to pack.

International Student Unit (ISU)
International Student Unit (ISU) provides support and guidance for international students intending to study in AeU in Malaysia.

We offer the necessary assistance for all international students by providing the necessary information and guidance so that the students are able to adapt quickly to the new environment in Malaysia.

Guide for International Students
There are few things you need to do and know before travelling to Malaysia to study with us. Our guide below are meant to help you prepare and make sure you will not missed out anything in your preparation.

Process to get your Student pass and Visa at AeU

* Subject to EMGS’s approval

Required Documents

Offer Letter Original or copy of offer letter
Photo 1 passport size photograph with WHITE background (35mm x 45mm).

Passport Student Passport Copy:

  1. Passport data page (bio-data page)
  2. All pages with Visa information
  3. Observation page (showing any extensions, clarifications of name, and previous passport numberes)
  4. Recommended passport validity duration is 12 months
  5. Special Pass or Exit Stamp (if applicable)
Accademic Transcripts and Certificates A copy of the Academic Transcripts and relevant certificates.
Pre-arrival Medical Examination Report Pre-arrival Medical Examination Report from student’s home country if screening was done at a non-EMGS registered overseas clinic (as applicable). A copy of the Lab Report and the Chest X-ray Report should be attached. All should be completed in the English Language.
Personal Bond Form (Submitted by the Institutions) Personal bond stamped by In-land Revenue Board (IRB)/LHDN as per EMGS template appearing on the EMGS website or generated through EMGS system)
Note: The Personal bond (hard copy) can be submitted by the institution after the student has arrived in Malaysia for the Student Pass endorsement. If the Personal bond is submitted before VAL is issued, any errors found will not affect the VAL approval process; however institutions are advised to make the necessary corrections before the student pass sticker endorsement stage.
Letter of Eligibility No-Objection Certificate (NOC) or Letter of Eligibility (LOE) if the student is from Sudan and Iran respectively. The document should be applied for by the institution from the respective Embassy in Kuala Lumpur.

Personal Bond

Malaysian Immigration requires AeU to sign a Personal Bond on behalf of the candidate, binding the University for the said sum. In order to comply with this requirement, the University requires the candidate to lodge with the University the said sum for the purpose of the personal bond. The bond money will be returned to the candidate after completion or upon withdrawal of his / her programme of study, on condition that there is no violation of any provisions of the Immigration Ordinance 1959 (F.M. 12 of 1969 (and Immigration Regulations, 1963 (F.L.N 228 / 63).

Medical Screening

Post-arrival Medical Screening

New international students are required to attend a medical screening at a panel clinic in Malaysia within 7 daysof their arrival date.

IMPORTANT TO NOTE: EMGS will not be able to initiate the process of student pass endorsement and supporting letter issuance for sticker endorsement purposes in the event that the international students fail to undergo the in-country screening.

Vaccination Requirements

It is recommended that international students take the vaccines listed in the health Examination Form and produce the international certificate of vaccinations to the institution for visa approval letter application purposes. Please note that a valid yellow fever vaccination certificate is required from all international students coming from or who have transited for more than 12 hours through countries with a risk of yellow fever transmission. Travelers without the certificate will be quarantined upon arrival in Malaysia.

Other vaccination requirements will be imposed from time to time (e.g. SARS, H1N1).

Student Pass and Passport Requirements

Before coming to Malaysia, make sure you know that:

  • Your passport must have a minimum validity of twelve (12) months beyond the period of stay from the day you enter Malaysia
  • You are permitted to hold only one pass at a time, which is your Student Pass
  • Your Student Pass is non-transferable and permits you to study only at AeU
  • The pass is valid for one (1) year and is renewable while you remain as a student at AeU

Expiry and Extension of Student Pass

You need to get your VISA Approval Letter (VAL) before leaving your country because in case your social pass expires before your Student Pass is approved, you will have to leave and re-enter Malaysia.

Note that all students and visitors to Malaysia are subject to the Immigration Act 1959/63.

It is your responsibility to remember when your Student Pass expires. You need to submit application for your Student Pass extension two (2) months before the expiry date.

Failing to do so may cause you to be compounded for overstaying in Malaysia by the Immigration Department.

Renewal of Passport

You are strongly advised to renew your passport at your country’s Embassy, High Commission, Diplomatic or Consulate Office in Kuala Lumpur in order to facilitate transfer of Student Pass endorsement from your old passport to the new one. You may also seek further advise from the Student and Alumni Affairs (SAA) on this matter.

Leaving and Re-entry to Malaysia

When returning to Malaysia from your holiday, you need to ensure that your Student Pass is still valid for no less than one (1) month from the date you re-enter Malaysia. You are advised to inform the Student and Alumni Affairs (SAA) Department by email them to saa@aeu.edu.my on the details of your travel plans and the length of your stay abroad.

Working in Malaysia

The Immigration Department of Malaysia allows International students to work for a maximum of 20 hours per week while studying in Malaysia and only during semester breaks which are more than 7 days long.

However, students need to obtain an approval from Immigration Department of Malaysia. International Students are not allowed to work in Malaysia during their studies.

Note: The information above is valid at the time of writing. Check with your local Malaysian Embassy, High Commission or Consulate that this information is still up to date, as immigration rules change from time to time. You can also check from the Malaysian Immigration website at www.imi.gov.my.

Travel Tickets, Baggage & Accomodation

  • Check with your travel agent to make your airline reservation. Also remember that during holiday seasons, flights could be expensive or fully booked on your desired dates, so make sure you make your ticket reservation soon after you receive your VISA approval letter.
  • When packing your luggage, remember that there are certain restrictions on the weight of luggage when you travel by air. Excess luggage charges can be quite expensive, so sometimes it may be cheaper to leave your books and heavy things at home and buy new ones in Malaysia.
  • If you already have your accommodation arranged, you are advised to arrive in KL at least a few days before your course starts, so that you can settle down with your accommodation and the new environment.

Weather & Clothing

  • The weather temperature average is about 29 – 33 degrees Celsius all year round in Malaysia. Thus, leave your sweaters and winter coats at home.
  • You will need both professional attire and casual. During school session, professional attire is required on campus. You may also need to bring casual clothing for non-school and off-campus events.

Other Important Necessity and Electrical Appliances

  • Make yourself feel at home! Bring personal stuff like posters or photographs of your friends and family.
  • If you are bringing any electrical equipment with you, remember that the power supply in Malaysia is 220 – 240 volts and it would be easier for you to have the universal adapter, just in case.

Below is the procedure on Airport Pick Up (only applicable to students who are entering Malaysia for the first time)

Step 1

Inform Student & Alumni Affairs Department (SAA) at least 10 days in advance before your departure from your country and provide us with the following information:

  • Date & Time of Departure from your country
  • Date & Time of Arrival at Kuala Lumpur International Airport (KLIA1)
  • Flight number & Airline Carrier

Note: AeU will not be responsible for any cancellation or delays if the instructions above are not followed.

Step 2

Important documents to bring with you:

  • High school certificates / degree certificates & transcript (with certified true copies)
  • 8 passport-sized colour photographs (with white background)
  • Original Pre-Arrival Medical report
  • Passport (minimium validity of 12 months);
  • Original copy of Letter of Offer from Asia e University

Step 3 (Immigration Counter)

An officer from AeU shall receive you at the KLIA1 at the stipulated time (9.00 am – 10.00 pm)

The AeU officer shall hold a signage of “Asia e University” at the immigration counter. The officer will assist you for immigration clearance.

Reminder: Immigration officers will not release the student without the presence of an AeU officer to identify and acknowledge the student.

You must be ready with the following documents:

  • Passport; and
  • Copy of eVAL
  • Original copy of Letter of Offer from Asia e University

Step 4

Upon completion of the Immigration Clearance procedure, AeU officer shall assist you in settling at AeU.

AeU provides accommodation for full-time international students seeking safe, convenient, and high quality housing in Subang Jaya. We are partnered with multiple student accommodation providers around Subang Jaya. So, if you’re looking for an apartment / condominium that you can share with friends, we will offer you the best choice of location and room type. Located just 2 km from campus, the units consist of three rooms that is equipped with basic furniture. Each room is furnished with a bed, a mattress, study desk, a chair, cupboard, fan and air-conditioner.

Shared equipment such as electric kettle and refrigerator to each residential block will be provided for students’ convenience. The student accommodation provider will monitor the units from time to time to make sure that the students’ living space is safe and sound to suit their comfort. Having an office at the units’ residential area, the accommodation provider are easy to reached by the students should they need assistance or seek immediate attention that concerns the units’ safety and well being.

Other amenities include swimming pool, gymnasium, restaurants, grocery shop, laundry, hair saloon, printing / photocopy shop and etc.

The apartment / condominium provided easy access to KTM Subang Jaya station and LRT Subang Jaya Station. E-Hailing service provider can easily reached by Grab App. Situated closely to Subang Parade and Aeon Big Subang, students can save their time to get stuff they need such as households, groceries, stationeries etc. as the malls are just walking distance from the units. Clinics are also nearby, should they need any medical attention.

The units are offered at different rates (subject to how many pax per unit).

Getting Around

AeU main campus is located in the self-contained township of Subang Jaya. A well- planned suburb of Selangor, Subang Jaya is only a short distance to the Kuala Lumpur city centre. Buses, taxis, an electric train system and a light rail transit (LRT) system are available, providing easy access to and from the city centre and around Subang Jaya.

During the first few weeks you will become familiar with the city and its neighbourhoods. The people here and the local life are two of the best things that you will experience while studying at AeU! You will find the location of AeU’s to be very convenient as it is close to just about everything you need. Within walking distance are hospitals, shopping complexes, a world-class wet and dry theme park, schools, shops, and entertainment outlets. Soon enough you will discover that Subang Jaya is teeming with good food and wholesome fun.

Options for transportation are aplenty in Subang Jaya, Petaling Jaya and Kuala Lumpur and as such, you will find that there are numerous ways to travel around. Usually most students and locals prefer to rely on public transport, whereby there are several options for you to get around.

Healthcare

All AeU’s international students will be provided with a health card manage by the Education Malaysia Global Services (EMGS). With the health card provided, students may be able to obtain their medical treatment and assistance at the go to the selected clinics and hospital permitted by EMGS. You may enjoy the medical benefits by getting discounts on the medical fees.

Currency

Malaysia’s local currency is Ringgit Malaysia (RM). It is generally easy to convert currencies at the money changers and banks throughout Malaysia. Most organisations in Malaysia accept major credit cards and some of them do accept travellers’ cheques. You may also withdraw cash from your home bank via ATMs machine available.

Upon arriving in Malaysia, we advise you to open an account with a local bank. You will need to obtain a letter from our Student Services for this purpose.

Language & Communications

Malaysia’s official language is Bahasa Malaysia. However, English is spoken by a majority of people throughout Malaysia, linking the various ethnic groups. Other everyday languages include Chinese dialects such as Cantonese, Hakka, and Hokkien, Tamil, Malayalam, and also Hindi.
